The desk works with travel businesses, not individual travelers. It is built for:

Why a group hotel desk instead of an OTA

Online travel agencies are made for individual stays. Above roughly 10 rooms they stop working for tour groups: there are no room blocks, no group contract and no negotiated release date, and every booking is a separate reservation under separate terms. For group accommodation on a coach tour you need one agreement per hotel that covers rates, room types, meals, crew rooms and the rooming list. The table below shows the main differences.

Frequently asked questions

How many rooms count as a group?

Most European hotels treat a booking of about 10 rooms or more as a group and apply group terms, such as an allotment, a release date and a deposit. Our desk handles requests from 20 to 500 rooms across a tour, which covers everything from a small school group to several full coaches traveling on the same route.

Can you book hotels and coaches together?

Yes. BCS Hotels is operated by BCS Charter, which also runs coach charter in Europe through bcs-bus.com. When you send a tour, tell us that you also need a coach, and the coach quote is prepared by the charter team for the same dates and route, so hotel locations and coach logistics are planned together.

Do you charge a fee?

There is no fee to send a request or to receive a proposal. You get hotels and group rates for every city on your itinerary within 48 hours (working days) and decide whether to go ahead. There is no obligation to book, and you can ask for changes to hotels, room types or meals before anything is confirmed.

How far in advance should a tour operator block rooms in Europe?

For spring and summer tours in major cities, blocking rooms 9 to 12 months ahead gives the widest choice of large hotels and the best chance of a group rate. Dates around trade fairs, major events and holidays fill even earlier. For winter tours, a few months is often enough, but central hotels with coach access still sell out first.

Can you handle rooming lists and name changes?

Yes. You send one rooming list for the tour and we pass it to every hotel before its rooming list deadline. When names change, you send the update once and we forward it to the hotels concerned. We also make sure single rooms for the driver and guide and any accessible or triple rooms appear correctly on each list.

Do you book hotels for groups without a coach?

Yes. Many groups travel by train, fly between cities or use local transport, and the hotel process is the same: a room block, a group rate, a release date and one rooming list. Tell us how the group moves between cities, and we choose hotels with easy access to the relevant stations or airports instead of coach parking.
