This policy explains what information bcshotels.com collects when you send a group hotel request or browse the site, how it is used and how to contact us about it. Last updated September 16, 2026.
Who is responsible for your data
bcshotels.com is operated by BCS Charter Inc., 7765 Lake Worth Rd Ste 305, Lake Worth, FL, United States. For anything related to this policy write to [email protected].
The site is a business-to-business service for tour operators and travel companies. It is not intended for consumers or for children.
What we collect
- Request details you enter in a form: your name, company, company country, email, phone, whether you resell to your own clients, cities, dates, number of travelers and rooms, hotel preferences, budget and special needs.
- Itinerary files and text you upload or paste (PDF, Word, Excel, CSV or text).
- Technical data recorded with each request: IP address, browser type, the page you came from and the time of the request. This is used to prevent abuse of the forms.
- Shortlist data stored in your own browser (local storage): the hotels, cities and dates you add before sending a request. This never leaves your browser until you submit the form, and you can clear it by clearing your browser data.
We do not ask for payment card details on this site.
How we use it
- To prepare and send you a group hotel proposal and to communicate about it.
- To ask hotels and accommodation partners for availability and group rates. For this we share the tour dates, group size, room mix and requirements. We share your company name only when needed to hold rooms, and personal names only when a rooming list is required for a confirmed booking.
- To keep a record of requests and proposals for the duration of the business relationship, and for accounting and legal purposes where a booking is made.
- To protect the site against spam and misuse.
We do not sell your data and we do not use it for third-party advertising.
Where and how long data is stored
Requests, including uploaded files, are stored on our web server outside the public web root and in the mailbox of the group hotel desk. BCS Charter Inc. is a United States company and your data is processed in the United States, with technical delivery partners in the European Union.
Requests that do not lead to a booking are kept for up to 24 months so that repeat requests and follow-up tours can be handled with the same information, then deleted. Records of confirmed bookings are kept as long as required by accounting and tax rules.
Third-party services on this site
- Cloudflare delivers the site and protects it against attacks. It sees the technical data of every visit.
- OpenStreetMap tile servers deliver the map images on destination pages. Your browser requests the map tiles directly from them.
- Google Fonts delivers the heading font. Your browser requests the font files directly from Google.
- Anthropic may be used to read an uploaded itinerary and extract cities and dates when you press the read button on the request page. The file content is sent for that purpose only and is not used to train models.
- Hotels and accommodation partners receive the tour details needed to quote and, after confirmation, the rooming list.
We use no advertising trackers. If web analytics is enabled, it is configured without advertising features.
Your rights
You can ask us at any time which data we hold about you or your company, ask for it to be corrected or deleted, or ask us to stop processing a request. Write to [email protected] and quote the request reference if you have one. We answer within 30 days.
Data needed to fulfil a confirmed booking or to meet legal obligations may be kept after a deletion request, and we will tell you if that is the case.
Changes to this policy
We update this page when the way we handle data changes. The date at the top shows the current version. Substantial changes are announced on this page before they take effect.

No fee to request. One contact and one contract for every hotel on the tour, from 20 to 500 rooms.
