Group Hotel Rates in Europe: How Group Pricing Works and What to Expect
Group hotel rates are contracted prices for a block of rooms, not a discount code. This page explains how hotels price groups, what moves the rate and what a tour operator can expect to pay in major European cities.
What is a group rate in a hotel? Group rate meaning
A group hotel rate is a price a hotel agrees for a set number of rooms booked together under one contract. Most hotels in Europe start applying group terms at around 10 rooms, and many handle requests above that size through a group or sales department rather than the reservations desk.
The rooms are held as an allotment (also called a room block): the hotel reserves, for example, 25 twin rooms for your dates at a fixed rate. In return, the operator accepts group conditions that individual guests never see: a release date for unsold rooms, a deposit schedule, a rooming list deadline and cancellation terms for the block as a whole. Group hotel reservations are therefore less flexible than public bookings, but the price and the rooms are held for you.
Typical group discount compared with public OTA rates
There is no fixed group discount. As a typical range, a negotiated group rate lands about 10–25 % below the public rate a traveler would see on an OTA for the same room and dates. That range is a guide, not a guarantee.
- Large cities with many big hotels (Paris, London, Rome, Barcelona): the discount depends heavily on dates. On busy dates it can shrink to little or nothing, while shoulder and low season leave more room to negotiate.
- Cities with fewer large properties (Florence, Venice, Edinburgh): large groups compete for a small number of suitable hotels, so the gap to public rates is often at the lower end of the range.
- Hotels outside the center with good transport links and coach access usually give the widest discounts, because groups fill rooms they would otherwise sell at lower rates.
Keep in mind that a group rate often includes items a public rate does not, such as breakfast, free places or a driver room, so compare the full package, not only the room price.
What drives group hotel room prices
- Season and day of week. Spring and early fall are peak months for coach tours in most cities. Weekend nights cost more in leisure cities, while business cities can be cheaper on weekends.
- Trade fairs and events. Large fairs, congresses and festivals can push rates far above normal and remove group availability entirely. Checking event calendars before fixing tour dates saves money.
- Twin vs double rooms. Tour groups need many twin rooms, and some hotels have a limited number. A request for mostly twins can narrow the choice of hotels.
- Single supplements. Single rooms are usually priced close to the twin room rate, so each single costs noticeably more per person than a shared twin.
- Half board and group dinners. Adding dinner raises the total, but bundling meals with rooms can make a hotel more willing to lower the room rate.
- Release date and deposit terms. A later release date and generous cancellation terms carry risk for the hotel, which is reflected in the price. Earlier commitment usually means a better rate.
- Group size and number of nights. Two or three nights and a larger block are easier to price well than a single night for a small group.

How to read the indicative rates
The table shows ranges per twin room per night for 3★ and 4★ hotels, with breakfast, in low and high season. They are drafts based on public rate levels, not quotes. Real group hotel rates for your tour depend on dates, events, room mix and meals, and are confirmed in the proposal the desk sends you. City specifics are on each destination page.

Free places policy for tour groups
Many European hotels offer free places to tour groups, usually expressed as a ratio of paying guests:
- 1:20 means one free place for every 20 paying guests.
- 1:25 means one free place for every 25 paying guests.
A free place is often counted as a half twin (one bed in a shared twin room), not a full room. Some hotels give a free single room for the tour leader instead, and some limit free places in peak season or for certain rates. Driver and guide rooms are a separate question: some hotels include them, others charge a reduced rate. The desk states which of these apply for every hotel in your proposal.
Deposits and payment schedule for group hotel rooms in Europe
Payment terms vary by hotel and season, but a typical group contract in Europe follows a pattern like this:
- Deposit on signing. A first payment when the contract is signed, often a percentage of the expected total.
- Release date. Several weeks before arrival, the operator confirms the final number of rooms. Unsold rooms go back to the hotel without charge.
- Rooming list and balance. The rooming list is due shortly before arrival, and the balance is paid before arrival or on the terms agreed in the contract.
- Late cancellations. Rooms cancelled after the release date are usually charged in part or in full.
When you book several hotels through the desk, these steps are combined into one payment schedule and one invoice for the tour.
Frequently asked questions
How to get a group rate at a hotel?
Send the hotel a written group request with dates, number of rooms, twin and single split, meals and any coach needs. Ask for a group rate, the release date, deposit terms and free places. Requesting several hotels, being flexible on dates and committing early all improve the offer. A group desk does this for every city on a tour at once.
Is it cheaper to book 20 rooms directly with the hotel?
Booking 20 rooms directly with the hotel group department is usually cheaper than booking them one by one on an OTA, and it gets you group terms. It is not always cheaper than going through a desk, which can compare several hotels, negotiate across a whole tour and knows which properties actually suit coach groups.
Why do group rates include breakfast?
Tour groups almost always eat breakfast at the hotel before leaving with the coach, so hotels price group rooms with breakfast as standard. It lets the hotel plan the breakfast room for a fixed number of guests and gives the operator a clear per person cost. Room-only group rates exist but are less common in Europe.
When do group rates expire (release date)?
The release date is the day by which the operator must confirm how many rooms of the block it will use. After that date, unconfirmed rooms return to the hotel for general sale and the group rate no longer applies to them. Release dates are set per contract, commonly several weeks before arrival, and are shorter for low season dates.
Are group hotel rooms always cheaper than public rates?
No. On dates with trade fairs, big events or very high demand, a hotel may offer a group rate close to or above its public rate, or decline the group. The value of a group contract then lies in holding enough twin rooms together, fixing the price early and agreeing release and payment terms that suit a tour.
What does group rate mean in a hotel?
A group rate is the per-room price a hotel agrees in writing for a block of rooms booked together, usually from 10 rooms, on one contract with its own deposit, release date and cancellation terms. It is not a discount code: the rate is fixed for the whole block, includes breakfast in most of Europe and comes with free places and name changes that public rates do not offer.
What is the difference between a group rate and a corporate rate?
A corporate rate is a year-round discount a company negotiates for individual business travelers who book one room at a time. A group rate is a one-off price for many rooms on the same dates under one contract. Corporate rates rarely apply to blocks of 10 rooms or more, and for the same hotel and dates the group rate is usually lower, because the hotel sells all the rooms in one decision.
